What we collect, and why
When you send an enquiry, we collect your name, email address, and anything else you choose to tell us, such as where you are travelling from, how many of you there are and which departure interests you. We use it to reply to you and to talk through whether the trip is right for you. Our lawful basis is legitimate interest: you have asked us a question and we are answering it.
If you sign up to Field Notes, we collect your email address and use it only to send you those notes. Our lawful basis is your consent, and you can withdraw it at any time using the unsubscribe link in any email.
If you go on to book, we collect the information we need to run your safari and to meet our legal obligations as a package holiday organiser: your full name, contact details, passport details, travel insurance details, and any dietary requirements or medical information you choose to share with us. Our lawful basis is performance of a contract, and for some of it, legal obligation.
We do not collect payment card details. There is no checkout on this site. Deposits and balances are paid by bank transfer.
Who we share it with
Our ground operator in Botswana, so they can run your safari. Only what they need, and only once you have booked.
Our insurers and professional advisers, where required.
Our website and email providers, who process data on our behalf under contract.
We do not sell your information to anyone, and we do not share it for marketing purposes.
How long we keep it
Enquiries that do not lead to a booking: two years, then deleted.
Booking records: seven years after the trip, as required for tax and insurance purposes.
Field Notes subscribers: until you unsubscribe.
Where it is held
Within the UK and the European Economic Area, except where we need to share booking details with our ground operator in Botswana in order to run your safari. Where information goes outside the UK, we make sure appropriate safeguards are in place.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, object to how we are using it, or ask us to restrict what we do with it. Email us and we will respond within one month.
If you are not happy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We would rather you came to us first so we can put it right.
